Player Registration

Q: I'm a parent. How do I register a player?

A: In order to complete any registration (whether money is paid or the cost is $0), the parent must sign into the website. When registration links are open, there will be a Register button on the right hand side of the applicable program page. If a program closes, this link will be turned off and a notice will be posted on the program page.

  1. Go to the Programs tab at the top of the WYHA website. If you have more than one child to register and they will be playing in different programs, you must complete one child and then go to the program the second child will be enrolled in. If you are unsure about which program to register your child for, please see the brief descriptions on each of the program pages.
  2. On the drop down menu, click on the program you wish to register your child for.
  3. Read through the information on the page, then click on the Register link. Note that the register link can ONLY be used to register players for the program described on the page.
  4. Click on New Player or select the child if already listed. If selecting New Player, enter the name of the player.
  5. Complete the registration by entering the USA Hockey confirmation number and address, and answering the questions on all pages. Move from page to page using the buttons in yellow/orange.
  6. Complete the registration by paying with a credit card or by signing up for an online payment plan.

Q: My child was a Beginner last season. How do I know if they are ready for a Pony/6U or Empire House team?

A: Players in the Beginner Program should plan on moving to an Empire House next season. Please contact the House VP at house@wyha.com or beginner coordinator jeff@wyha.com) if you are not sure if your child is ready to move to a team based program at their age level.

Q: I am the registering parent. How do I add spouses, step-parents or grandparents to my child(ren)'s registration so their family calendar has their schedule?

  1. Log on (must be the registering parent).
  2. Select DASHBOARD (upper left corner).
  3. Select PLAYERS on the left hand side.
  4. Select VIEW DETAILS next to your player's name.
  5. At the top of this display is a link + ADD PARENT. Click on this link.
  6. Add the parent's email address and select ADD PARENT. If the parent already has an account, they will be added immediately. If the parent does not have an account, then a verification email will be sent to them. They must click on the link to verify their email and then create an account by supplying their name, selecting a password and supplying a phone number. The parent will be added once they have created their account.
  7. Parents associated with the child can check to see who has been added by following steps A thru D at any time.

Q: What is the family calendar?

A: All children who have been assigned to a team(s) whose registrations are associated with your account will be shown on the Family Calendar display. There is also an iCAL feed CALENDAR FEED button on the Family Calendar display. To find the Family Calendar display, log on with your account and click on the Family Calendar link in the upper left hand corner.

If you log on and click on the Family Calendar link and don't see your child('s) schedule, ask the registering parent to add you as a Parent on the child('s) registration.

Q: Who is the family calendar most useful for?

  • Families with more than one child registered in WYHA.
  • Families with a Goalie - the Goalie clinics are shown on the Family Calendar and on the EGoalie Clinic Team pages.
  • Any child that is signed up for RWB Supplemental, the Squirt & Peewee House Clinics, any child who is an alternate on the Squirt RED or any Travel or Girls Team, Girls on the 12U Supplemental team (both their Empire House & Girls 12U Schedule will show up on the Family Calendar).
  • Any family that wants to use the iCal feed. The CALENDAR FEED button is on the Family Calendar page.

Payment

Q: What is the payment plan?

Q: How do I see the details of the payment plan we signed up for?

  1. Log on (must be the registering parent).
  2. Select DASHBOARD (upper left corner).
  3. Select PLAYERS on the left hand side.
  4. Select VIEW DETAILS next to your player's name.
  5. Scroll down, then under REGISTRATION HISTORY, select VIEW DETAILS.
  6. The payments and dates are listed. Note payments are processed automatically on the dates listed and it may take a couple of days before they appear on your credit card account.

NOTE: The $150 payment made at Evals or Tryouts (some parents paid this after Tryouts or Evals but before 6/1) will NOT be shown on this page. Credit Card payments that were made on our old website & payments by check are offline payments and there is no ability to show these on the registration details page.

Q: How do I change or add a credit card to my child's registration?

A: For expired or lost/stolen credit/debit cards, once you are notified of a failed payment, please update your card as soon as possible. If you are having problems, please contact the Registrar at registrar@wyha.com.

  1. Log on.
  2. Select DASHBOARD (upper left corner).
  3. Select PLAYERS on the left hand side.
  4. Select VIEW DETAILS next to your player's name.
  5. Scroll down on the Player Info page until you get to REGISTRATION HISTORY.
  6. Click on VIEW DETAILSnext to the program your child has payments remaining on (usually TRAVEL 2019-20, EMPIRE TEAMS 2019-20, GIRLS 2019-20, or PONY 2019-20).
  7. Click on the EDIT button next to the card number of the next installment and add another card.
  8. Once you have changed/added a new credit/debit card, please notify the Registrar at registrar@wyha.com so they can adjust the payment due date within Crossbar.

Q: Can a webmaster change the amount of money a person owes after they register for a payment plan?

A: Yes. The webmaster can request Crossbar change the dates of payments or cancel all future payment plans in any order that has a payment plan, but can’t change the amount owed. ALL payments MUST be complete by 11/30. When a person registers for a payment plan they are re-entering into a payment agreement. In the case that a parent requests WYHA cancel future payments in the plan, the remaining balance would be due immediately or the child will be removed from the ice. NOTE: Once the parent selects this option and completes the registration, WYHA is charged the payment plan fees so if the parent elects to pay in full later on we can not add the pay in full credit.

Q: What happens when a payment fails to process?

A: The registrant who has an email address attached to the registration will be emailed. If the registrant fails to deal with the situation in a timely fashion, then the payment plan will be cancelled and any remaining balance due immediately. Contact registrar@wyha.com for processes to follow if the registrant wishes to pay the balance in full.

Q: What if one parent is paying half and another parent is paying half or there are other special family circumstances?

A: This situation would not be eligible for a payment plan but WYHA will work with the parents to figure out how to make split payments happen. Offline split payments will require both parents to sign a payment agreement and parents must have a history of paying on time. As an organization run by volunteers, WYHA will not spend time chasing parents for payment. Contact registrar@wyha.com.

Q: Will electing to pay by Payment Plan affect my eligibility for other discounts (early registration, family discount)?

A: Parents electing the Payment Plan are fully eligible for all discounts except the Pay In Full Discount. All applicable discounts are applied to the published fee, and then the payment page will show the fees (with all discounts applied) and the payment plan charges (initial & monthly). We expect most parents who want a Payment Plan to sign up by 6/30 making them eligible for the Early Registration Discount.

Q: We are not sure if we will be able to afford to play hockey this season. Will WYHA offer any programs to help?

A: WYHA recognizes some families have had financial setbacks due to furloughs or layoffs. WYHA will extend payment plans thru 12/30 to make it easier on families to pay. WYHA has always worked with families with temporary financial issues provided they are willing to sign up for an online payment plan with a debit/credit card. Once we open registration, contact the Registrar at registrar@wyha.com as early as possible to work out a plan. WYHA also offers scholarships for those in need. Please contact our registrar for information on how to apply for one of these.
